Add an item. Set its maintenance intervals. Keep a record when the work is done.
Start with one item.
- Tap Add Item. Take a photo, choose one from your library, or tap Skip.
- Choose a type and give the item a name. Templates include bikes, motorcycles, running shoes, rackets, cars, and more. Choose Other to start without preset tasks.
- Tap Next. Review the suggested tasks, turn off the ones you do not need, or use Add Your Own.
- Tap Done. Open the item to view its tasks. Use Add Task whenever you need another.
Templates are starting points. Check their intervals against the instructions for your item and adjust them. With Gear Pro, choosing a photo during item creation automatically starts AI identification. Skip the photo step to enter the details yourself.
Choose how to count.
Open a task and tap Edit. Under Track by, choose days, weeks, months, years, distance (kilometers or miles), or hours when available.
- Time: set the interval and Last done date. Gear calculates the next due date from those values.
- Kilometres: Gear subtracts the odometer reading at the last service from the item's current mileage. Enter mileage manually in Edit Item, or link a bike or pair of shoes from Strava.
- Hours: Gear counts moving time from Strava workouts of the selected sports, after the task's last completed date. This option is available for items configured to track workout hours.
For an existing kilometre task, check Odometer at last service, km. New tasks begin counting from the current mileage. If service happened earlier, update the baseline in the task's editor.
Record the work.
Open a task and tap Mark as Done. Set Date done, add a note about the work or part used, and tap Save. The task starts its next interval and the entry appears in History.
For kilometre tasks, enter Odometer at service in your selected distance unit. If you are recording older work, use the reading from that day, not today's reading. For example, service at 1,000 km with a current reading of 1,200 km means 200 km have been used since service.
Gear Pro's Scan can read a label or package photo into the service note. Review the text before saving. History entries show the date, note, and mileage when recorded.
Know what is coming up.
Allow notifications when Gear asks. In a task's editor, choose how many days ahead to be reminded. Zero means Remind on the due date. Gear schedules local reminders for the advance date, due date, and three days overdue when those dates are still in the future.
For kilometre and hour tasks, Projected is an estimate based on recorded use over time. It changes as use changes. If the task shows Not enough data yet, Gear cannot calculate a date or schedule its reminders.
A forecast is not a guarantee of condition or remaining life. Check the item itself and follow its maintenance instructions. Notification delivery also depends on your device settings.
Bring in your activity.
Open Settings → Connect Strava and complete authorisation. In an item's Strava section, choose the matching bike or shoes under Gear. Where available, use Hours from workouts to select sports.
Gear syncs when you open or return to the app and when you pull down on the main item list. It does not continuously sync in the background. Open Gear after new activities are saved to Strava to update usage and projected reminders.
To stop using Strava, choose Disconnect Strava in Settings. For manual mileage, edit the item and choose Not linked, or Unlink and enter mileage manually if the connection is no longer available.
Get a starting point.
Gear Pro includes photo identification, AI Suggest for maintenance tasks, AI Suggest Interval, and service-note scanning.
AI requests send the relevant item or task names, notes, and selected photo through Gear's server to the AI provider. The server also checks your Pro purchase. Photo identification starts automatically when a Pro user chooses a photo while creating an item; other requests start from their respective controls.
Check suggested names, intervals, and notes before saving. Interval advice may also adjust the last-done date when it estimates wear from a photo. Treat that estimate as a suggestion.
Put a date on your calendar.
Open a task and tap Add to Calendar. Review the date, calendar, and alerts in the system editor, then save. For usage-based tasks, wait until a projected date is available. A saved calendar event is separate from the task: later changes in Gear do not update it.
iCloud, backups, and your data.
Gear stores your items, tasks, photos, and service history on your device. Items, tasks, photos, mileage, history and imported activities sync through your private iCloud account when available. Sign in to the same Apple account on both devices and check Settings → iCloud & Backup for account and sync status. Strava and the AI assistant use the services described above. Restoring a Pro purchase restores subscription access; use iCloud or a backup file to restore maintenance records.
Export Backup saves a JSON file containing your items, photos, tasks, history and imported activity entries. Save it in Files, iCloud Drive, or another safe place. It excludes Strava sign-in tokens and purchases. Restore Backup updates matching items to the saved snapshot and adds missing ones; unrelated items stay. Importing the same backup again does not create duplicates.
iCloud sync is not an independent backup: deletions also sync. Delete All Data removes all items and records and disconnects Strava, after confirmation. It clears Gear reminders and the widget. Your subscription, saved calendar events and exported files remain.
Choose Settings → Units → Distance for kilometers or miles. Manual mileage, service readings, intervals, history and the widget use that choice. Switching units preserves the underlying mileage.
